The HL Holidays Booking Process described…
The Booking Form
Once you have found the property you would like to book (some ask lots of questions first, some dont!) you must send in a Booking Request form to HL Holidays. This is found on every property page of the website near the Price information.
This online form will ask for your details, and the details of members of your party that will be staying at the property with you.
You will be asked to confirm that you have Travel Insurance in place – note that this should cover you from the date of booking, and not just the dates of travel. If you are paying by credit card travel insurance may be included, and it is also included on many domestic insurance policies.
No payment will be requested at this stage, but please note that a Booking is only confirmed once a deposit is received.
By submitting a Booking Form you and your party agree to abide by these TERMS & CONDITIONS
Confirmation and Deposits As soon as we receive your Booking Form, we will check with the Owner that the property is still available for your chosen dates to make sure they have not made other plans and not informed us.
Assuming all is ok, we will then ask you to pay a deposit to confirm and secure the booking, and this will usually be 20% of the amount of the rental. The property will be reserved in your name for a few days to allow this to be arranged,
Method of Payment
Payments can be by:
Bank Transfer – We have £GBP and €EUR current accounts available to receive payments.
Credit Card – We can accept payment by Mastercard and Visa cards. You can either give us the card details by phone to process, or we can email you a link to make the payment online without passing card details to us.
All amounts will be processed in £GBP, which may lead to slight variations in amounts charged to your card if it is in another currency.
Debit Card – At present we can accept only £GBP payments from UK banks by Debit card.
Cheque – We can accept cheques in either £GBP or €EUR
Please discuss payments in any other currency with us – we will be pleased to help.
As we act as agents for many absentee Owners we regret cash payments on arrival at the property are not possible.
Once your deposit is received, we will send you Confirmation of your booking, and an invoice for the balance of the rental, plus the Security Deposit.
You can then also arrange travel.
I have paid the deposit – When do I pay the ‘Final Balance’?
Normally the balance is due not less than 8 weeks before the booking starts.
At this time we also ask you to pay the Security Deposit – Further information on Security Deposits is found in THIS ARTICLE
If you have ordered extra items such as baby equipment, these will be added to the invoice for payment now.
We can discuss staged payments with you if you wish, including monthly options for early bookings, but the final payment must be made not less than 8 weeks before your booking.
If your booking is made within 8 weeks of the start of the booking, the whole rental and Security Deposit are due immediately to confirm the booking
What is the Cancellation Policy?
HL Holidays manage cancellations on a case by case basis largely determined by whether the booking can be re-let or not. Booking deposits are generally non refundable.
Full cancellation policy is on the HL Holidays website
What happens after I pay the ‘Final Balance’ ?
Once your payment is received, we will send you information including directions to the property, how to access the property and manager contacts.
This is usually on an ‘InfoMap’ pdf document designed to be used on portable devices: We do suggest that you open the document and ensure that it is compatible with the apps on your device, and if possible either print it or record the details separately in case of loss or malfunction of your device.
With that, we wish you a safe journey, and a pleasant stay at your holiday home in France….
